Administrative Assistant for College of STEM and Health Professions

Position Summary

Responsible for general administrative and operating support to faculty as directed by the dean. Provides organization, effective communication, and assistance with the dean’s work. Detail-oriented and a team player.

This is a part-time position (hourly compensation), typically 20-25 hours per week during the academic year (August through May). This position requires an on-campus presence.

Position Responsibilities

  • Provides general clerical support for the dean and the Science and Math faculty.
  • Sets objectives and accomplishes them without need for frequent follow-up.
  • Helps coordinate and set-up for various on-campus college events (occasional evening hours might be required).
  • Coordinates and arranges Zoom meetings and on-campus visits of guests and prospective faculty.
  • Assists with ongoing communication with students throughout their program, notifying them of various requirements and reminding them of special dates.
  • Requisitions materials and supplies.
  • Reconciles credit card expenses, pays invoices, makes reimbursements.
  • Represents the dean in contact with on- and off-campus individuals, offices, and organizations, including students, administration, prospective students, alumni, employers, and others.
  • Prepares documents (letters, memos, reports) and performs routine tasks (copying, messages, phones). Maintains College files, including minutes, policy book, student records, and others.
  • Maintains databases.
  • Assists in preparation and updating official documents and reports.
  • Supervises student work-study staff.
  • Attends various College and committee meetings and records minutes.
  • Other duties as assigned.

Essential Skills and Experience

  • Working knowledge of Microsoft Office and general computer hardware.
  • Able to perform basic budgeting tasks such as updating, tracking and reconciling expenses.
  • Preparation of expense reports and other administrative record keeping.
  • Able to accomplish goals without frequent follow-up.
  • Calendar management.
  • Strong communication skills, both oral and written.
  • Ability to set proper priorities and work on multiple tasks; detail-oriented.
  • Strong organizational skills.

Preferred Skills and Experience

  • Office Experience

Education:

  • High school graduate. Courses in office skills preferred.

Physical demands and work environment

  • Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment: The noise level in the work environment is usually minimal.
